Parties of 20-50 guests $16.00pp minimum All private parties are conducted after the restaurant is closed to the public. The times seen below are what we offer for private parties. WEEKDAYS ANYTIME AFTER 2:30PM, 2 HRS blocks WEEKENDS 3PM - 5PM (2:30pm-5:30pm) 30 Minute Set Up Time Prior to Party Start 30 Minute Break Down Time at Party Completion STEP # 1: PAY ROOM RENTAL FEE Find a date for your event and call us at 585-545-4985 to make sure we have it available! In order to secure your date with The Mad Hatter for your event, the nonrefundable room rental fee needs to be paid in full. Payment can be taken over the phone with a credit card or in person. You will have use of entire dining room for your event. $100.00 NONREFUNDABLE ROOM RENTAL FEE We do not take any deposits Full payment due at completion of party |
STEP 2: SCHEDULE COMPLIMENTARY CONSULTATION
Please call us to schedule your 30 minute meeting with our Event Planner. We recommend that this is scheduled 4-6 weeks prior to your event. We feel its best to do these consultation in person so you are able to see the space, but also conduct them over the phone as well. Times for Consultations: Wednesday - Friday | Between 9:00am-2:00pm What will be discussed: Discuss & finalize the menu (Catering Buffet or High Tea Option) Discuss décor | Plan table layout Plan schedule of events | Address questions you might have STEP #3: FINAL HEADCOUNT Due the Wednesday prior to your event. This is also the last day to make any changes to the menu, set up or additional requests. We encourage guests to USE OUR IN-HOUSE BAKERY for cakes, cookie trays, and pastries We do allow cakes to be brought in from a licensed bakery (no homemade items permitted per NYS Health Dept.) - What is the ideal date and time of your celebration? Do you have a back up date, or two?
- What kind of event are you celebrating? Are there particular traditions or themes we should know about?
- Is the guest of honor being surprised or are they helping make the plans?
- How many people are you anticipating will celebrate with you? (Just a guesstimate range, your final count isn't due right now)
- Do you need a gift table? a favor table? a game table?
- What kind of music would you like to be played?
- Do you want bare tables (dark-stained wood, custom built) or would you prefer white table cloths?
- What color napkins would you prefer? We typically use light grey but can order a specific color of your choosing.
- Would you prefer a customized catering package with a beverage station? a high tea buffet?
- When would be a good day and time for you to come in for your complimentary consultation? Our Event Planner is here weekdays from 9:00am until 2:00pm.
